  • General service: "Hi, this is Sam at GS Construction — sorry we missed your call. What are you looking to get done? I can text you a time to talk."
  • After hours: "Thanks for calling Downtown Dentists. We're closed until 8am, but text me what you need and I'll hold a slot for you."
  • Emergency trades: "This is the on-call line at PoolZenia. Is this urgent? Reply URGENT and I'll call you back in 5 minutes."
  • Restaurant or takeout: "Gateway Pizza here — sorry, we're slammed. You can order online at [link] or text your order and we'll call to confirm."

Things to avoid: "Your call is important to us," blocks of hours and policies, three links, and anything that reads like a mass marketing blast. Every message must also include a way to stop — "Reply STOP to opt out" — which most platforms append automatically on the first message of a conversation.

The second and third message

One text is a reply. Three well-spaced texts are a follow-up sequence, and that's where most of the extra bookings come from. A pattern we use on local accounts: message one immediately, message two at 10 minutes if no reply ("Still want me to call you back?"), message three the next business morning ("Last check-in — want me to get you on the schedule this week?"). Then stop.

Also set Allow Re-entry thoughtfully — on is fine for a service business where the same person calls monthly, off is better if you are worried about repeat sends.

Test by calling your own business number from a mobile and letting it ring out. Check the text arrives, that the sender number matches the number you dialed, and that STOP works.

Pricing moves, so treat those as ballpark figures and confirm with the vendor. Replying to someone who just called you is the safest kind of business text, but there are still three rules to follow.

United States. The TCPA restricts autodialed and automated texts to mobile numbers without consent; the FCC's guidance on unwanted calls and texts is the primary reference. A single reply to an inbound call is generally treated as responsive, not solicitation — but the moment your sequence turns into promotions, you need real consent. Always honor STOP immediately and keep the opt-out language in the first message.

Carrier registration. Separate from the law, US carriers require A2P 10DLC registration for application-to-person texting from 10-digit numbers. Unregistered traffic gets filtered or blocked, which means your missed call texts silently fail. Register the brand and campaign before you launch, not after you wonder why nobody replies.

Canada. CASL governs commercial electronic messages, and an inbound inquiry can create implied consent for a limited period. Read the official Canada's Anti-Spam Legislation guidance and keep your messages transactional: identify the business, include contact info, and provide an unsubscribe method.
